PRINCIPAL JOB ACCOUNTABILITIES List the essential duties and activities that must be accomplished in performing the job along with the objective of each duty or activity Accounts Receivable Function Publish and provide customers with monthly Accounts Receivable Statements If customers are missing invoices investigate the issue with customer service and make appropriate corrections. Contact customers for payment via email for past due accounts. Update CFO and Accounting Manager on cash collections on a weekly basis, for cash planning. Responsible for reviewing the monthly sales invoicing report to ensure invoicing is accurate regarding price and general ledger codes. Post daily these sales and reconcile sales report to general ledger balance. Investigate and resolve any differences. Responsible for performing credit checks on potential new customers and submitting the appropriate information to CFO (D&B report, banking information, credit references, and suggested credit limits) for approval. Credit checks for new customer must be completed and approved prior to the ordering of raw materials and manufacturing of product. This coordination must be done in conjunction with the new business process. Responsible for setting up new customers in Chempax with appropriate address for invoicing and approved credit limit. Responsible for publishing monthly customer credit limits report from Chempax CS for formal written review with CFO for any changes. This approved document is part of the monthly working papers. Responsible for notifying appropriate sales personnel when a customer`s balance has become past due and payment of balance cannot be resolved with customer in accordance with client`s policy If the sales team cannot resolve issue, this position is responsible for placing customer on ``credit hold`` and letting appropriate parties know of credit hold status so no raw materials will be ordered for their products, no completed products will be shipped, and no further production of their products. Also, responsible for notifying appropriate parties when customer pays past due amount and is taken off of credit hold. Financial Budgets, Statements, GDP Information, Federal & State Taxes Assist in the preparation and publication of annual operating and capital budgets. Financial Interfacing Parent Company Responsible for maintaining the appropriate documentation for any changes and/or additions of new general ledger codes and the syncing of these codes to the appropriate general ledger codes. Documentation must depict when changes are made and support that the appropriate communications are made, both internal Analyze monthly financial statements Balance Sheet Accounts Review monthly the ending balances in the balance sheet accounts assigned to this position. Ensure the balances are supported by appropriate schedules approved by the CFO, prior to official month-end close. These documents are part of month-end working papers.
